This guide will walk you through the various designations and Meeting Attendee types in MeetingFull.

1. Create a Meeting

Start by creating a new meeting.

2. Give your Meeting a Title

Assign a clear, descriptive title to your meeting.

3. Add Agenda Topics and add a Subject Matter Expert

Add specific agenda items for discussion and assign a Subject Matter Expert (SME) to each topic to ensure focused and informed dialogue. SMEs are added on a per-topic basis to enhance the productivity of your meeting. – Clearly specify SMEs for each agenda item to facilitate preparation and discussion. – Attendees are automatically designated as SMEs when added for a specific topic. – Clarify the role of SMEs to avoid perceived bias during the meeting.

4. The Subject Matter Expert is automatically added as an attendee

MeetingFull automatically adds the chosen SME as an attendee to streamline the process and guarantee the presence of the right expertise.

5. Add more Meeting Attendees

Core participants actively attending and engaging in the meeting. – Receive invitations in advance and have access to the meeting agenda for preparation. – Actively contribute to the discussions and decision-making process.

6. Tap on an Attendee to view theĀ  Attendee Options

Manage various options for each meeting attendee.

7. Set Attendee to be Optional, Meeting Minutes or Remove the Attendee

Use Optional sparingly, as it blocks time on the calendar. – Reserve this designation for individuals who are essential for specific aspects but may not need to attend the entire meeting. – Consider the Notes Only role for those who don’t need to attend but should stay informed. Meeting Minutes: Assign this role in advance to ensure preparedness for note-taking. – Facilitates organized documentation and distribution of key meeting points.

8. Add Notes Only Attendees

Participants who contribute guidance in advance or follow discussions without physically attending. -Receive meeting agenda and post-meeting notes but do not have time blocked on their calendar. – Efficiently involves stakeholders who provide insights without active participation.
